Job Description

To provide professional and proactive administrative support to the CEO, Group People, Team & Organisation Director, Group Head of Reward, Group Marketing & Communications Director, and their teams as requested, in order to facilitate efficient business operations. 

Key accountabilities:

Provision of first line support to the above roles, monitoring their emails, and responding appropriately
Effective diary management and arrangement of travel/production of itineraries
Acting as a key liaison point between the leadership team and other key parties, setting up meetings as appropriate and maintaining effective communication
Preparation of documentation for board meetings and ad-hoc meetings as requested by the leadership team
Production of complex PowerPoint presentations
Collating information for business updates
Processing expenses as requested by the leadership team
Support in organising and arranging dinners, events and corporate conferences
Support in organising and producing live Teams events for company-wide meetings
Support database management and distribution of annual reports and quarterly company publications
Solve simple IT problems, contacting the IT department if necessary
Undertake ad-hoc projects as required
Provision of back up support as required, during periods of absence elsewhere in the PLC administration team
Administration support to Group Head of Reward, as follows:

Bonus Invitation and pay-out process (Annual August/September)

Shares grant and vesting Process (October and March)

Annual salary review process (January)

Pension (RGPF) Calculations (February annually)

Create and manage control sheets for the above processes, draft and distribute employee communications and track signed returns

Support Financial Year-end activity, including CEO pay ratio analysis, liaise with UK BU’s and ensure timely and accurate completion and amalgamation of pay ratio spreadsheets

Support Directors emoluments process (Annual July)

Skills, qualifications and experience:

Significant experience of providing executive-level administrative support, within a global corporate environment
Proven organisational skills within a demanding environment
Excellent working knowledge of the Microsoft Office suite
Ability to produce complex and professional Powerpoint presentations
Prior experience of working with spreadsheets
Experience of publishing on Intranets, with SharePoint experience an advantage
Ability to organise complex travel arrangements, meetings and itinerary requirements, able to take account of global time zones
Educated to at least A level standard or equivalent
Excellent written and verbal communication skills
